Sales Administration Supervisor
Salary - £32-£34k
Location - Gravesend 
Hours - 8am - 5pm - Tuesday to Saturday 


Our client is looking for a Sales Administration Supervisor who has experience in supervising and motivating a small team. They are seeking a dynamic leader to head and develop our Sales Admin Team. This pivotal role ensures that routine activities and responsibilities are performed accurately and on time, supporting the Sales Invoicing team in generating precise invoices. Key responsibilities include managing administrative processes such as processing customer orders, communicating shipments, forecasting sales volumes, and maintaining accurate product data. The ideal candidate will build and maintain strong relationships and communication channels with customer buying teams, depots, and internal departments including Procurement, Commercial, and Production Planning.


Main Duties & Responsibilities 


Processing Supermarket Orders:

  • Ensure daily receipt and processing of all supermarket orders via EDI or email, and promptly communicate them internally
  • Action order amendments quickly and communicate changes promptly
  • Monitor deliveries and shortages, consulting with supermarkets and depots as needed
  • Track and report any customer rejections


Sales Administration:

  • Maintain up-to-date product pricing for approximately c150 SKU's and ensure new product information is accurately recorded and priced
  • Prepare and distribute daily and weekly customer forecasts to the Commercial, Procurement, and Production Planning teams
  • Manage and compare actual customer orders against forecasted orders
  • Set up and amend products (SKUs), including changes in fruit recipes, pricing, and pack/tray sizes (UPT)
  • Collaborate with the sales ledger/accounts receivable team to ensure accurate invoicing


Key Accountabilities: 

  • Supervise the daily tasks of the Sales Admin Team
  • Foster strong working relationships with internal stakeholders, including Finance, Commercial, Dispatch & Planning, and Procurement
  • Create reports and procedure documents as needed
  • Attend internal and external meetings as required
  • Provide training to team members when necessary 

Person Specification:

  • Proven experience in supervising and motivating a small team
  • Track record of successfully implementing administrative projects and processes on time
  • Highly accurate and numerate with keen attention to detail and exceptional time management skills
  • Demonstrates initiative, makes informed decisions, and remains calm under pressure
