Responsibilities for the role of the Executive Assistant
- Manage the Managing Director and Senior Management Team’s diaries, book meetings, hotels, travel and transport ensuring appointments run smoothly
- Provide day-to-day support to the Managing Director as required ensuring they have the necessary information available to execute their responsibilities
- Manage correspondence and where required telephone calls on behalf of the Managing Director, ensuring that all communications are dealt with appropriately
- Support in the day-to-day delivery of the human resource services to the business and provide advice to both managers and employees as and when required
- Liaise with all stakeholders including shareholders, customers, suppliers colleagues etc providing support during site visits, including organising any catering and other welcome arrangements
- Provide administrative support for the company car fleet arranging servicing and repairs etc
- Organise and attend meetings taking minutes and action points when required
- Undertake project work as required to support the business Examples may include refurbishment of staff welfare and office areas
- Facilitate the Group meetings and provide support to help it achieve its aims and objectives
- Other ad hoc general administration duties to ensure the smooth running of the business and the site, such as covering reception during absences
- Comply with all relevant company policies & procedures and customer standards, including but not limited to Health & Safety, Food Safety, Integrity & Quality and Equality & Diversity
Specifications required for the role of Executive Assistant
- Previous experience in a similar role is essential for this role
- Must have a high degree of confidentiality and discretion to fulfil this role
- Candidate will need to have highly developed organisational and time management skills
- A high level of confidence and self-motivation will be required to be effective in this role
- Exceptional interpersonal and communication skills
- Ability to work in a dynamic environment with tight deadlines and under own initiative
- To interact effectively with all senior stakeholders within the business
- A working knowledge of Microsoft Outlook, Word, Excel and PowerPoint
- Demonstrable understanding of our local community
